U.S. Immigration Law Compliance

EssilorLuxottica is committed to full compliance with applicable federal and state immigration laws.  These laws require that all applicants and associates establish and maintain proof of their legal right to work in the United States as a condition of employment.  Every associate must provide satisfactory evidence of his/her identity and legal authority to work in the United States no later than three business days after he/she begins work.  If an employee’s immigration status changes during the course of employment, the employee must notify his/her manager prior to the change, and complete all necessary documentation to demonstrate continued authorization to work in the United States for EssilorLuxottica.

Canada Immigration Law Compliance

EssilorLuxottica is committed to full compliance with applicable federal and provincial immigration laws. All employees must therefore be lawfully permitted to work in Canada and should be prepared to furnish verification thereof if/when asked to do so. Continued employment with the Company is conditional upon each employee maintaining his or her legal status to work in Canada. If an employee’s immigration status changes during the course of employment, the employee must notify his/her manager immediately.

What is Form I-9?

Form I-9 is a U.S. Citizenship and Immigration Services form.  All new hires are required to complete Form I-9 and provide acceptable evidence of their identity and legal authority to work in the United States within three business days of the date employment begins.

How do I complete Form I-9?

Form I-9 is now completed electronically during the pre-boarding process in the pre-boarding system.

New hires complete Section 1 as part of the pre-boarding packet prior to starting work.  A manager then completes Section 2 either before their first day of work (retail locations) or within three business days of the date employment begins.  Employees can present either one document from List A or one document from both list B and list C (see Form I-9 Acceptable Documents List).  Employees must present original, unexpired documents. Photocopies or expired documents are not acceptable.

Form I-9 FAQ

Q: When do new hires need to complete Form I-9?
A: Retail new hires must have both Section 1 and Section 2 of the I-9 completed before their first day of work.  Retail new hires will not receive an EssilorLuxottica ID until both sections are complete.  All other employees are required to provide documentation within three business days as a condition of employment.  Failure to do so may result in termination of employment.  Contact preboarding@LuxotticaRetail.com for assistance.

Q: What should I do if my new hire does not present acceptable documentation or does not present documentation at all within three business days of the day they start work?

Q: What should I do if my new hire presents a foreign passport and Form I-94/Form I-94A (List A, Item 5) as documentation?  How do I know if this employee is authorized to work for EssilorLuxottica?

Q: Do I need to submit copies of the I-9 documents that the new hire presents to validate his/her identity?
A: Only submit copies of the I-9 documentation if the employee presents a List A document and you are in an E-Verify state or location (AL, AZ, FL, GA, LA, MS, NC, SC, TN, and UT, corporate office, and all RxO/DC facilities). In such cases, you will be prompted to submit a copy in the pre-boarding system via a file upload or the I-9 Anywhere document photo app.  Additional details on document submission and the I-9 Anywhere document photo app are provided in the E-Verify and I-9 Anywhere job aids. My Store Received an I-9 Inspection Request – Help!

If a government agent requests a Form I-9 for a particular employee or your entire store roster, contact your HRBP immediately and  e-mail preboarding@LuxotticaRetail.com  before taking further action.

E- Verify

Once you complete Part 2 of the I-9, you may be required to submit your new hire to E-Verify in the pre-boarding system.

E-Verify is a federal program that further ensures employers hire employees who are eligible to work in the United States.  EssilorLuxottica participates in E-Verify in the following states and locations: AL, AZ, FL, GA, LA, MS, NC, SC, TN, and UT, corporate office, and all RxO/DC facilities.
