You are required to partner with Employee Relations via the Employee Relations icon found My Personal Desk for involuntary terminations and job abandonments.

If employment is terminated involuntarily, or as a result of job abandonment, follow steps 1-5 below.  If employment is terminated voluntarily, follow steps 3-5 below.  

(1) Partner with Employee Relations

You can partner by submitting information to Employee Relations located on My Personal Desk  via the Employee Relations Icon.  Be prepared to provide the following information:

  • Details of incident(s): date/time, nature, names of witnesses, and employees involved
  • Prior corrective actions (if any)

(2) Conduct Termination Meeting (Involuntary Terminations Only)

Meet with employee (strongly recommended to also include another manager as a witness) to:

  • Notify employee that his/her employment is terminated effective immediately and reason(s) for the termination
  • Explain final pay and PTO payout
  • Collect employee’s Company property

(3) Terminate employee in My Personal Desk

Don’t forget to indicate whether the employee is eligible for rehire in the future. Please note that My Personal Desk defaults to “Eligible for Rehire,” so if employee is ineligible for rehire, be sure to change this.

(4) Coordinate final pay and PTO payout immediately (if applicable)

Certain states have special regulations on final pay distribution and PTO payouts. To determine if you are located in a final pay state, and for more information on final pay, see Final Pay within this Guide.

(5) Send Employee Files

  • Outside the CSC: Mail the employee's personnel file and confidential medical file in an Employee Record Return Envelope.  Envelopes can be purchased from Central Purchasing (CP #3031679) through POS.
  • At the CSC: Send the employee’s personnel file and confidential medical file to HR Compliance.
