Employee Instructions  (As of 6/29/2020)

  1. Confirm that you are eligible to file a COVID-19 PTO Appeal:
  • Your PTO Anniversary Date (first day of full time employment) occurred in March thru August 2020. (Note: Balances cannot be adjusted on appeal until after an employee’s PTO anniversary date has occurred).
  • You are losing more than eight (8) hours of PTO beyond the 40 hours of carryover provided under Luxottica’s PTO policy. (Note: Employees may only file an appeal for up to a maximum of 40 lost hours of PTO; anything beyond 40 hours will be forfeited).
  • You can show proof of cancelled PTO plans between 3/1/20-8/31/20, which were due to COVID-19 related reasons or an inability to take PTO due to business restrictions on PTO.
  • PLEASE NOTE: Employees placed on furlough on or after 4/19/20, who had the opportunity to take PTO during the furlough period before their PTO Anniversary date expired, should not file for an appeal, unless they can show proof of extenuating circumstances. Such cases will be escalated to the appropriate brand/business unit HRBP for review and approval.
  1. Log into My Personal Desk using EssilorLuxottica ID and network password
  2. Scroll down and click on “HR Service Portal” tile.
    • Select “Chat or Email Us”.
    • Select “Current Associate” and answer the questions that follow regarding whether you have direct reports, and whether the request is for yourself or a direct report.
    • Select “PTO Balances Inquiries” option.
  3. Provide details to support your appeal:
    • Contact information (use personal email if on furlough)
    • PTO Anniversary Date
    • Active or Furlough Status
    • State and Country
    • Number of PTO hours being appealed (beyond policy carryover of 40 hours)
    • Proof that PTO hours were cancelled between 3/1/20-8/31/20 due to COVID-19 related reasons or an inability to take PTO due to business restrictions on PTO. Proof may include a screen shot of PTO cancellation in Kronos, e-mail with supervisor, or other evidence that shows termination of planned PTO during this period.
  1. An HR Service team member will review your appeal and provide a decision within 5 days. If approved, you will be able to carryover your amount of appealed PTO, up to a maximum of 40 additional hours.  In all cases, the total carryover hours will be capped at 80.
